Checking and updating your disability and/or neurodivergence status using Inside UCL

What do I need to do?

We are asking all staff to anonymously share their disability status with UCL. All staff should check their disability status records are correct on . There are a significant number of incorrect records so we are encouraging staff who have not yet shared their status with UCL to do so.


Why is it important?

We want to improve the accuracy and completeness of the disability monitoring information we hold about the UCL staff community.The reason for this is that the data allows us to better understand UCL’s workforce profile and identify patterns and trends where potential disadvantage or discrimination might exist for Disabled staff. This in turn helps us identify targeted positive action interventions and initiatives to improve our support, policies, information and decision making. Equality monitoring also helps UCL meet our legal duties under the , both in terms of statutory reporting and to protect our staff members from discrimination and harassment at work.


Why use Inside UCL?

Inside UCL offers a more user-friendly way to update your HR record than using MyHR directly.

MyHR allows users to accidentally add conflicting data, meaning that some records entered via MyHR are incorrect for Disabled staff.

UCL is currently developing an action plan to support the UCL Disabled community, and more accurate data will help us understand the size and needs of our community better. So please help us and update your disability record on Inside UCL.


Who will see my disability status if I share it on Inside UCL?

Colleagues in HR have access to equality monitoring information; access to the information is strictly controlled and only accessed on a need-to-know basis for legitimate purposes.

In addition, anonymised equality monitoring data in group / larger sample format basis is available more widely across UCL (e.g. via Tableau) for the purposes of data analysis, trend information, research etc. It is not possible to identify any individuals within this data.
All personal data is always treated in the strictest confidence in line with the .

Your line manager is not able to see or access your equality monitoring information onInside UCL(or on MyHR).

However,we encourage staff with a disability to share this information in confidence with their manager, so that they can discuss appropriate actions, a possible referral to Occupational Health and / or the need for any reasonable adjustments.


How do I update my disability status on Inside UCL?

Step-by-step guidance is given below to show you how to change your disability status using Inside UCL.


Using Inside UCL to check or share your disability status

1. How to check your record is correct

The following is the process for checking your disability record is correct on Inside UCL.

  1. Log in to on your internet browser using your UCL credentials, using any computer or mobile phone.
  2. Click the ‘My details’ button on the Inside UCL homepage.
  3. Click the ‘Disability’ tab within My details section.
  4. Check your disability record, and adjust it if needed.
  5. Do you see an error message at the top of the screen? If your data is incorrect on the system, an error message will appear that notes that you have conflicting information.
  6. If you do see this error message, this means that you have both selected that you have a disability on MyHR and that you do not. You can usually see if you have done this on Inside UCL under ‘Current records’. If you have this error, you will need to delete this record on MyHR. You can then re-enter the correct information on Inside UCL.
  7. To delete records on MyHR, log onto MyHR, navigate to UCL Employee Self Service, My Personal Information, Disability and click the delete icon next to any erroneous rows.

2. Share your disability status if you have not done so before

The following is the process for sharing your disability status on Inside UCL.

  1. Log into on your internet browser using your UCL credentials.
  2. Click the ‘My details’ tab on the Inside UCL homepage.
  3. Click ‘Disability’ tab within My details section.
  4. Answer the question “Do you Have a Disability”. If you do have a disability or neurodivergence, then select Yes and select which type of disability or neurodivergence in the box that pops out. If you do have a disability or neurodivergence but would prefer not to record this, please answer ‘Prefer not to say’.
  5. Save your entry by selecting ‘confirm’.
  6. If you have more than one disability or neurodivergence, click ‘add a disability’ and repeat steps 4 and 5.

If you are unable to use the MyHR system, or Inside UCL, and need someone to amend your record for you, please contact HR Services
