Artificial intelligence is rapidly transforming the workforce, with growing adoption across industries pointing to a future where AI-driven solutions are integral to operational efficiency and innovation. Currently, most companies use AI at an individual level, with employees using tools like GPT-4 to boost productivity. Ai8 is revolutionising this approach by shifting the emphasis from individual human “nodes” calling AI, to instrumenting workflow management - passing work from human to machine, and machine to human. The net result will be a seamless integration of AI models and agents, alongside existing human workforce and workflows.

Their vision is to coordinate AI agents to enhance productivity across entire organisations. In this model, an AI agent defines and estimates project tasks, delegating them to the most suitable human or GPT. Ai8 is creating a platform that serves as an “orchestration layer” for project, as well as company management, seamlessly integrating human and machine efforts. Initially implemented in higher education at ʼһ, this solution's ideology, values, and design are transferable to the business world, offering significant social impact by tackling the UK's digital skills gap. By fostering efficient, collaborative, and innovative workplaces, this solution aims to remove barriers to economic growth and create a more skilled and adaptable workforce.

Addressing Digital Skills Gaps

Team leaders currently lack insight into the behaviour and performance of their human capital, contributing to significant digital skills gaps across UK businesses. Today, 93% of UK companies face a digital skills gap, with no effective way to evaluate the skills profiles of their team members. RAND Europe estimates that G20 countries will lose $11.5 trillion in economic growth due to these digital skills gaps and the inability to define clear “delegation zones” between human and machine capabilities. UK employers report that 1.72 million employees lack essential digital skills, a gap that continues to widen with the rapid emergence of new technologies like LLMs. With demand for skilled talent outpacing supply by an average of 23%, the ability to quickly assemble and disband agile teams for priority projects has become a critical need.

The Solution

Ai8 has developed a groundbreaking work management platform designed to revolutionise team dynamics by integrating human and machine capabilities to overcome skills gaps effectively. This platform analyses the skills profiles of team members to intelligently delegate tasks to autonomous agents, GPTs, and human resources. Known as Team OS, Ai8’s solution provides team leaders with deep insights into their composite workforce’s capabilities, aiming to significantly enhance team output and foster collaborative efficiency.

Upon implementation, organisations utilizing Team OS engage with a user-friendly kanban board interface, enhanced with AI capabilities powered by AWS Bedrock. Through intuitive assessments of company, project, and team goals, Ai8’s platform autonomously identifies core tasks and dependencies essential for project execution. During an initial trial phase with two existing projects, Team OS gathers data to evaluate the skill profiles and identify gaps within the team. This evaluation process enables Ai8 to optimise task delegation by leveraging generative AI technologies, ensuring tasks are assigned to the most competent entities.

As Team OS accumulates and analyses vast datasets encompassing project details, task execution times, dependencies, skill sets, and learning gaps, it defines a customised ‘delegation zone’. This zone identifies scenarios where AI agents and GPTs demonstrate superior performance compared to traditional team members. As a result, Team OS scales seamlessly to manage complex projects involving multiple team members, effectively executing thousands of tasks in collaboration with AI-driven technologies.

Technical Journey with the CDI

During their participation in the CDI Impact Accelerator programme, Ai8 worked towards technical milestones across three key areas of development, facilitated by the upskilling of the team through AWS workshops and transitioning to CDK for enhanced infrastructure deployment.

enhanced project management efficiency

Ai8 revolutionised project workflows with an innovative prompt taskflow system. This system integrates input prompts and customer feedback to automate the generation of comprehensive task graphs, thereby accelerating project planning and enhancing overall efficiency. The team successfully trialed this system with UCL data science students, automating the creation of Kanban boards for 140 dissertation projects. This initiative not only provided a robust learning platform for teaching data science and statistics but also addressed the bottleneck of managing the entire student population with limited resources. Ai8's solution has thus become a compelling use case for Higher Education institutions seeking to bolster project management efficiency and student engagement through AI-driven automation.

ai-orchestrated task delegation

Ai8 advanced their capabilities in AI-orchestrated task delegation, enabling seamless assignment among humans, machines, and AI agents through intelligent decision-making processes. This initiative is slated for completion by September, underscoring Ai8's commitment to refining and expanding their AI-powered solutions for optimiszed resource allocation and operational agility within teams.

project management ai chatbot

In addition to their taskflow system, Ai8 introduced Sym, an AI chatbot designed to support project management during sprints. Sym utilises data from kanban boards and internal documentation to offer insightful task breakdowns and project progress updates, thereby fostering enhanced team productivity and collaboration.

Empowering Business with AI Solutions

Ai8 has rapidly advanced since its inception, achieving significant milestones such as its initial sale to UCL for a Jupyter Hub platform tailored for data science dissertation project management. This deployment showcases Ai8's ability to streamline educational workflows through AI-driven solutions. Subsequent successes include securing their first B2B contract with a legal startup, highlighting Ai8's versatility in providing tailored solutions across diverse industries. Recently, Ai8 expanded its impact by deploying a comprehensive management platform at ʼһ for company-level project management, further validating its scalability in meeting organisational needs.

As Ai8 refines its go-to-market strategy to target growth-stage enterprises across sectors and customise its platform for specific verticals while maintaining broad applicability, the company aims to amplify its social impact. By empowering businesses with advanced AI capabilities that enhance operational efficiency, foster collaboration, and drive innovation, Ai8 not only addresses immediate business challenges but also contributes to broader societal benefits such as enhanced productivity, skills development, and economic growth. Through ongoing innovation and strategic partnerships, Ai8 remains committed to shaping the future of work by delivering scalable, secure, and transformative AI solutions.

Ai8 Co-Founder, Jonathan Gilmore, summarises his experience with the CDI:

"UCL & AWS's CDI programme gave us the structure and advice we needed to accelerate the build of a robust MVP. We particularly appreciated the ability to ask senior UCL and AWS staff technical questions and get support around building a platform ready for scale from day 1."
